Honley Show raises vital funds for the Society

  1. Acceptance of Entries.
    The Society, its Officers, Council and Servants will not be responsible for any loss (either wholly or part), detention, injury of, damage of or to any property exhibited or entered for sale, competition or display at the Show, or for injury, loss or damage caused to any persons or property whatsoever, or for any loss or damage, consequent on the non-staging or non-judging of any property entered for the Show whether in any of the above cases the same arises from accident, disease, negligence or wilful act omission of themselves or any person or from any other cause whatsoever. Entries are accepted only subject to a condition that each exhibitor or competitor will indemnify and hold harmless the Society, its Officers, Council and Servants against all claims, demands, actions and other liability, by or to any person arising from any cause whatsoever directly or indirectly connected with the presence, care, use, handling or transport of any property exhibited or entered at, or used in connection with the Show by such Exhibitor.
  2. Application for Space.
    All applications must be submitted on the official Honley Show Society website booking system unless authorised by the Trade Stand Secretary. The Society reserves the right to refuse any entry whatsoever or to cancel any entry which may have been accepted.
    Payment must be made in advance; no Trade Stand space will be allocated until payment has been fully received.
  3. Exclusivity.
    We do NOT guarantee exclusivity for any product to be sold by any trader, either in the Trade Stand Village or Main Show Field areas.
  4. Risk Assessment Forms and Public Liability Insurance.
    All Trade Stand applicants must complete a Risk Assessment form and submit it at time of application.
    All Trade Stand applicants must submit a copy of their current Public Liability Insurance Certificate at time of application.
    All Trade Stand exhibitors must have valid Public Liability Insurance for the date of the Show. If the renewal date of your policy is before show day, please provide your new certificate to the Trade Stand Secretary by email prior to show day. If you intend to arrange Public Liability Insurance for show day only, please advise the Trade Stand Secretary at time of booking.
    Trade Stand exhibitors must be prepared to produce written evidence of insurance immediately upon the request of a Show Officer.
    Failure to complete and return these documents will result in your stand being cancelled and no refunds being made.
  5. Licences.
    The Exhibitor shall be responsible for obtaining such licence/temporary events notice as may be needed for the sale or supply of intoxicating liquor or otherwise and for the observance of the same. Copies of all permissions must be lodged with the Trade Stand Secretary prior to the Show.
  6. Food and Confectionery Vendors.
    Any Exhibitor selling food or confectionery products should hold a Food Hygiene rating of 3 or above or should be in the progress of applying for one, unless they fall in an exemption category.
    Any food offered on a stand, whether as hospitality or for sale, will fall within the provisions of:-
    • Food Safety Act 1990 (as amended)
    • Regulations (EC) No.852/2004
    • Food Hygiene (England) Regulations 2006
  7. Allocation of Space & Conditions of Use.
    Where possible we shall try to accommodate specific location requests for trade pitches, however this cannot be guaranteed. However, we will endeavour to ensure your location is commensurate with your commercial objectives.
    Traders should be aware that they are booking a pitch on a field and as such should not expect the ground to be level and free from undulation. You should ensure you can make level if required for any vehicles or stands requiring flat ground.
    The Society will not be held responsible for the ground condition of the sites offered and will not guarantee to make good such sites.
    When booking your space, you should ensure that all your fixtures and equipment can fit inside the boundaries of your pitch. If you are intending to park your vehicle on your pitch, please ensure that it will fit along with your stall. All guy lines, display items and awnings should not exceed the boundary of your plot. (If your vehicle encroaches on areas outside of your pitch then you will be asked to remove it to an appropriate car park).
  8. Gazebos.
    When ordering your trade pitch please allow sufficient room for the guy ropes of your gazebo to be incorporated into the space allocated to you. Any exhibition encroaching into the pedestrian area or into space allocated to another exhibitor will be asked to correctly reposition or it will be taken down and removed. All Trade Exhibitors must ensure they have read understood and agree to the Honley Show Gazebo policy at time of booking.
  9. Exhibitor Entry Tickets.
    Trade Exhibitors will be entitled to several free admission tickets in relation to the size of their stand. Additional tickets can be purchased online from www.honleyshow.co.uk. Any exhibitor staff arriving after 09:00am must park in the public car park and have a ticket for entry through the public pay booths. Those leaving to park cars in public car parks will receive a pass out stamp on exit of the Show field.
    • 4m x 4m/ 6.5m x 6.5m / 8m x 7m ⟶ 2 tickets
    • 9m x 9m ⟶ 4 tickets
    • 15m x 15m ⟶ 6 tickets
  10. Cancellations.
    If an exhibitor cancels a Trade Stand Application, the following will apply:-
    • Prior to 30th April we will refund any payment already made less 20%
    • After 01st May for whatever reason will result in all monies being forfeit.
    The Society reserves the right to re-let the space. Stands will not be allowed to set up until full payment has been made on any outstanding invoices.
  11. Refunds – Cancellations by the Organiser / Force Majeure.
    If the Show is cancelled due to circumstances beyond our control such as (but not limited to) adverse weather or the results of adverse weather, unsafe ground conditions, damage, restriction of access by public authorities, fire, flood, storm or terrorist attack, the following will apply:-
    • Where you have agreed to pay us to attend you accept the risk of cancellation and acknowledge no refund of monies paid will be made by Honley Show Society.
    If the Show is cancelled for any other reason, the following will apply:-
    • If the Society cancels the Show, we will refund any payment already made, less 20%.
    The determination of a reason for cancellation rests with the Society’s Council.
  12. Litter and Damage to Site.
    TNo Trade Exhibitor is permitted to dig up the ground in any part of the space allocated to them. Trade Exhibitors are required to clear their stand of rubbish at the end of the Show. Litter and other refuse must be removed to the skips provided. All Trade Stand pitches must be left in a clean and tidy condition, including the filling in of holes and sites must be completely cleared. If excessive amounts of litter or other refuse is left on site after the Show, the Society reserves the right to impose a charge to cover the cost of removal and or remedy any damage.
  13. Hospitality.
    Any Trade Stand Exhibitor may supply refreshments free of charge to their customers. However, under no circumstances will they or anyone on their stand be permitted to sell or receive money for refreshments. Exhibitors are responsible for ensuring that no alcohol is obtained by anyone under 18 years of old. Exhibitors catering on their own stand are reminded that they must conform to the requirements of the Food Hygiene Regulations.
  14. Show Day & Set Up
    The Showground will be open for trade stand set up during the following times:-
    • Thursday – by prior arrangement with the Trade Stand Secretary
    • Friday – 10:30am until 18:00pm
    • Saturday – Show Day, 06:00am until 09:00am
    Any Trade Stand Exhibitor wishing to stay overnight on the Show Field on the Friday or Saturday must seek the agreement of the Trade Stand Secretary prior to arrival for set up. Honley Show Society Ltd accept no liability for any overnight stays. This will be at your own risk and please note that there are no camping facilities provided.
    All Society’s property shall be regarded as highways with special reference to marked layout, speed restrictions (5mph on all Society property) and the observations of parking restrictions. Please use your hazard lights when moving on Society property. All vehicles not staying within pitch boundaries must be parked in the Trade Exhibitor car park by 09:00am.
    All vehicles entering the site on show day will require a Trade Stand parking pass. Entry will only be permitted up to 09:00am, no new arrivals will be allowed after this time. No vehicle movement is allowed on the show field until 17:00pm.
    All Trade Exhibitor stands must be open by 09.00am in the morning and manned throughout day. Stands may not close before 17:00pm.
  15. Show Breakdown.
    Any Trade Exhibitor wishing to leave any Gazebo or large item overnight must seek authority from the Trade Stand Secretary. Trade stands cannot be dismantled until 17:00pm on Show day. All trade stands need to be cleared from site no later than 11:30am the following day.
  16. Security.
    Whilst security services operate overnight before Show Day neither the Society nor the security firm, can take any responsibility for any theft, damage or vandalism that may occur.
  17. Movement of Traffic on the Show Field.
    There will be no movement of Trade Exhibitor motorised vehicles on the Show Field between 9.00am and 5.00pm.
  18. Miscellaneous.
    The use of loudspeakers, shouting, approaching visitors in public areas or customers who are at other Trade Stands or other behaviour which might annoy visitors or exhibitors is strictly forbidden.
    Games of chance and the selling of goods by auction is prohibited. Furthermore, NO KITES, CHINESE LANTERNS, BALLOONS OR TETHERED BALLOONS ARE ALLOWED. Stands are NOT permitted to sell PELLET GUNS, FIREARMS or TOYS THAT EMIT SOUNDS of GUNFIRE OR SIMILAR. Exhibitors infringing this regulation may have their stand closed and asked to leave by the Society.
    No exhibitor will be allowed to sub-let any part of their stand without permission from Honley Show Society in writing.
    All machinery must be supplied in accordance with the Supply of Machinery (Safety) Regulations 1992 and any other legislation that may be applicable.
    NOTE: The handing out of leaflets away from your trade stand is strictly prohibited.
  19. Generators.
    To avoid the risk of nuisance to traders/the public, we request that you provide the quietest generator available, have suitable means of noise suppression and be mindful of siting the generator. Details of size, means of noise suppression and details of certification must be available for inspection.
  20. Water.
    Water to individual stands is not provided but water is available from standpipes located around the Show field.
  21. Grass Cutting
    It is permitted for individual Trade Exhibitors to cut and trim grass within the boundaries of their allocated pitch, it is also their responsibility to remove all cuttings from the Show field.
  22. Livestock on Stand.
    All livestock are subject to:-
    • Movement control and controls applied by DEFRA and any other authorities in relation to health status within DEFRA or other recognised scheme for a species.
    • Declaration of disease-free certification.
    • All livestock and birds must be accompanied by the appropriate documentation.
    • All livestock and birds are subject to the orders of DEFRA and local authorities, which may be operative at the time of the Show.
    • Exhibitors are wholly responsible for obtaining all certificates and permits, including those required to leave the Showground at the end of the Show.
    • A competent stockman must attend animals on trade stands throughout the Show.
    Honley Show Society must be notified of any intent to bring livestock for display on a Trade Stand in advance of the Show Day.
    A Control & Decontamination Point must accompany all livestock exhibitions, as specified by DEFRA.
  23. Health & Safety Regulations.
    Exhibitors must agree to comply with such provisions of the Health & Safety Act at Work etc. Act 1974 and subordinate legislation as may apply to the Show. Exhibitors must agree to comply with the Honley Show Health & Safety procedures which can be found on our website www.honleyshow.co.uk
  24. Fire Safety.
    Stand holders must include fire risk in their risk assessment. A ‘No Smoking’ policy must be adhered to in all marquees/ caravans etc and attendants should be on duty during the whole time the public are in the structures. Every stand must be equipped with firefighting facilities, which must be accessible and maintained in a functional condition. No exposed flame or heat source should be placed near to canvas or combustible material.
    A board displaying a Site Map and Health and Safety notices will be posted on the main show field.
    Only fight the fire if safe to do so using correct extinguishers which are located in all Secretary tents across the Show field.
  25. Performing Rights Society Ltd (PRS) Copyright Act 1956.
    No person may perform or allow to be performed any copyright music in public without the permission of the copyright owner. The trade stand holder should pay the fee for such a licence to PRS. PRS inspectors monitor events of this nature. The Society cannot accept responsibility for any action taken against a Trade exhibitor or any other person who contravenes the Copyright Act 1956.
  26. Photographers.
    No person shall ply for trade as a “snapshot” photographer or solicit business on the Society’s grounds and car parks, with trade stands, exhibitors, or other visitors to the Show. The Society reserves the right to expel from its property, without refund, anyone who infringes this regulation. Any person wishing to take photographs of stands or animals for commercial purposes must obtain permission from Honley Show Society prior to Show day. Official Society Photographers will have a badge; others wishing to obtain permission must apply before the Show.
  27. Disclaimer of Liability and Responsibility of Exhibitors.
    Save for death or personal injury caused by the negligence of the Society, its servants or agents, the Society will not be responsible for death, injury, disease or loss caused to any exhibitor or to his or her servant or agent, or to any animal, insect, bird, or thing of whatever nature, exhibited by the said exhibitor or by any vehicle brought by the exhibitor on the Showground or car parks from whatever cause of death, injury, disease or loss arises. Save as aforesaid, the exhibitor of any animal, insect, bird or thing of any nature whatever will indemnify the Society for any damage, loss injury or disease occasioned by the said exhibitor his servants, agents or by the said animal, insect, bird or thing or by any such vehicle, however such damage, loss, injury or disease shall be caused.
    The Society shall not be liable for any loss or damage arising from any error in the apportionment of space or for any encroachment by an exhibitor on the space apportioned to another. No liability will be accepted by the Society for short footfall during the day, this is an open-air event that is dependent on many external forces.
    The Society, its Officers or Servants will not be, in any way, liable to any persons whatsoever for any damage or loss, however caused, to the property of any such person or for any injury, fatal or otherwise, to any such person or while upon the Society’s Show field or car parks or while entering or leaving the same.
    Each exhibitor shall be solely liable for any loss, injury or damage that may be done to or occasioned by or arising from any article or property exhibited or brought onto the Show field by or for him, and he shall indemnify the Society on account of or in respect of such damage or injury which may be so caused.
    Exhibitors shall be held liable for the behaviour and for any misconduct or negligence of their servants or contractors and the consequences thereof. All exhibitors are to provide a copy of the current Public Liability Insurance Certificate.
    All exhibitors at the Honley Show must complete the RISK ASSESSMENT Form and submit it with their Trade Stand application.
    Acceptance of the By-Law shall be a condition of entry or participation in any event, competition or display promoted or arranged by the Society.
  28. Ejection – Unacceptable Behaviour.
    The Council reserve the right to eject or have ejected from the Show field any person who shall be guilty of noisy or disorderly conduct.
    Aggressive, violent, or abusive behaviour will not be tolerated and will result in your services being restricted and withdrawn from the show. In extreme cases, we may contact the Police.
    Unacceptable behaviour includes:
    • Using bad language or swearing at our staff, customers, or other traders.
    • Any physical violence towards any member of staff, customers, or other traders, such as pushing or shoving.
    • Verbal abuse towards our staff, customers, or other traders in any form, including verbal insults.
    • Racial abuse and sexual harassment.
    • Abusing staff, customers, or other traders on our social media channels or via email.
    • Verbally abusing our staff, customers, or other traders on telephone calls.
  29. Data Protection & Marketing.
    Honley Show Society Limited will retain all information supplied by applicants solely for administration use by Honley Show Society Limited. No details will be passed to third parties without express permission of the applicant.
    The Show Society may from time to time and at its discretion, use photographs of Trade Exhibitors for marketing purposes and may name and publicise the presence of Trade Exhibitors at the show. This could include (but not be limited to) the shows website, print, online and social media advertising, brochures, programmes, signage and presentations.
